Relating Files


You can link any files. This can be useful to keep different edits of a file together or to link documents with associated images. From the detail view of a linked file, you can quickly access all other files that are linked to it. You will be able to relate up 500 files at once. 


Method 1:

  1. Select the files that you would like to relate (you must choose at least two files).
  2. Click on the Relate icon in the toolbar.
  3. You can add a group name  (optional) and mark one of the files as primary (more on this in the section: How to set and view primary assets for related files).
  4. Click Save.

    The files are now linked.


Method 2:

  1. Go to the preview/information page of an asset.
  2. Locate the Related Files section.

    Note: In order to enable Related Files on your preview/information page go to:

    Settings > Configuration Options > Custom Configuration > Preview Page/Information Page

  3. Click on Create New.
  4. Select the asset(s) you want to relate to this asset. 
  5. Enter a Group Name (optional).
  6. Click on Next.
  7. Select which of the assets should be set to be Primary.
  8. Click on Save.


Note: 

  • You can only relate up to 500 files at a time.
  • You can also introduce one-to-one, one-to-many, and many-to-one type relationships.

How to unrelate assets

  • Unrelate one or multiple files on the overview page

    1. Click the link icon on the thumbnail of an asset.

      A list opens at the bottom of the screen.

    2. Select one or more files from the list.
    3. Click the unrelate icon.
  • Unrelate one or more files on the preview or information page

    1. On the preview page or information page of a related file, scroll down to the Related Files section.
    2. All files related to the current file are displayed. Click the unrelate icon to unlink a specific file (1).
      Or
      Click Unrelate All to remove all links to the current file (2).

You can create a label for a group of related files so that you can show related files based on certain classifications.

  1. When creating a new relation you can enter the desired Group Name.
  2. Click on Next and in the following window click on Save.
  3. Now you will see Saved successfully in the lower-left corner. You can now close the window.
  4. Click on the drop-down list on the preview/information page to specify which content should be displayed.

There are several ways to view your related files:

  • The first way is to open an asset in Preview Mode. You can see all the related files at the bottom. You can click on an asset's thumbnail to view that asset. 

    Note: Related files are sorted Z-A.


  • Another method is to click on the Related-icon in the top left corner of an asset's thumbnail.

    A window will appear at the bottom where you can see all the assets related to the selected file.

    In the window, you are able to select files, unrelate assets, change the view mode, select a group and preview the files.


  • You can also find a section called Related Files on your asset's preview/information page.
    Note: In order to enable Related Files on your preview/information page go to:

    Settings > Configuration Options > Custom Configuration > Preview Page/Information Page

Method 1:

  1. In the Relate Files window, select the desired group from the drop-down menu. 
  2. Click on the plus button next to the group name.
  3. Select the desired asset(s) and click Save when you are finished.


Method 2:

  1. On the Information Page of an asset, navigate to the Related Files section. 
  2. Select the desired group from the drop-down menu and click on the plus button next to the group name.
  3. Select the desired assets and click Save when you are finished.

Primary files allow users to assign one file during the relate process as the primary file. If a primary file exists, non-primary files would not see each other. If there is a group with no primary files, files will be able to view each other. 

  1. When you have selected the asset(s) you would like to relate, click Next.
  2. Select the desired asset(s) or check the Primary box to select all.
  3. Click Save.

You may then view the assets in Preview mode at the bottom.

In the All Related Files group, you will be able to view all the assets related to the asset you have opened. Note: Assets will not be viewable to other related files unless it is in the same group in the All Related Files tab.
When you select a group, you see only the primary asset, indicated by the label Primary.

Note: Related files are sorted Z-A.
